OAC Trip Cancellation Policy

Special note regarding Covid-19 policy effective March 16: In order to to do our part to help everyone stay healthy and happy, we will be rescheduling all trips through May 31, and temporarily modifying our cancellation policy. 

We want you to be able to register for a trip you’re interested in without worrying about being penalized if the trip is canceled or if you want to cancel your reservation. With that in mind, we are temporarily modifying our cancellation policy as such:

When you register for a trip during this period, you will have the opportunity to cancel your registration and receive a full refund or credit. If you cancel more than 72 hours prior to a trip, you will have the option of receiving a refund or credit. If you cancel within 72 hours of departure, you will receive full credit for a future trip. If we cancel a trip due to the COVID 19 virus, we’ll issue you a full refund or credit, as you choose.

When this health crisis fades, we’ll revert back to our standard cancelation policy. At that point, we’ll give you a chance to reconfirm your reservation. At that time, if you want to cancel your registration you will be able to without penalty. If you want to maintain your reservation at that time, our standard cancelation policy will go into effect. 

The OAC Group Trip Cancellation Policy (Note the policy is different for members and non-members. In fact, a more lenient cancellation policy is one of the membership benefits.):

Non-members: If you cancel or for any reason (including being sick, having to work, change of mind, transportation problems, etc.) within 14 days or are a no-show, no refund is given. Outside of 14 days you will receive a refund, less a $25 cancellation fee. Trip fees are not transferrable to other OAC outings.

Standard Members: If you cancel for any reason (including being sick, having to work, change of mind, transportation problems, etc.) between 3 (72 hours) -14 days of the trip, you will be refunded, less a $25 cancellation fee. If you cancel for any reason within 72 hours of the trip, or are a no-show, there is no refund. Trip fees are not transferable to other OAC outings.

Ultimate Members: As an Ultimate Member you’ve effectively prepaid for a year’s worth of adventures. You still need to be respectful of other other people’s desire to join our trips, so we ask you to only register for trips you’re committed to attending, and give us notice if you must cancel. If you cancel before the Wednesday before a trip, there is no cancellation fee. After Wednesday, there is a cancellation fee, equal to 50% of the trip fee.

Standard Members and Non-members: You are welcome to give your spot on an OAC trip to another person if you can not make the trip.

If there is a waiting list for a trip, we will try to replace your spot with someone on the waiting list. If we replace your spot from the waiting list, a $25 cancellation fee will be deducted from your refund.

Note to all: If you arrive late and miss the start of the trip, you will be considered a no show and will not receive a refund. Allow adequate travel time to get to the meeting point.

When does the cancellation policy become effective? Or, “I just signed up yesterday and found out now I have to work, can I cancel without penalty?”

Once we send your confirmation for your trip, you are confirmed and the cancellation policy is in effect. Often we book and make reservations on your behalf with subcontractors as soon as we’ve received your confirmation. Thus, once you have said, “Sign Me up”, we will get you signed up and the cancellation policy is in full force.

When you sign up for an event, you should think of your reservation as buying a ticket for that event. You are welcome to give the ticket to someone else, you can opt to not use the ticket, but you can’t use yesterday’s ticket for tomorrow’s game.

If the Outdoor Adventure Club cancels a trip for any reason, then your payment can be applied to another trip or a full refund is issued.

Note that special cancellation policies may apply to special trips, such as Half Dome. Do note the cancellation policy during your trip registration process.

The OAC Private/Custom One-Day Rock Climbing Trip Cancellation Policy:

We’ll confirm a guide for the day once the invoice is paid. If you must cancel a private guiding day, we will refund 50% of the trip fee if your cancellation is more than 7 days in advance of the trip. If you cancel 7 days in advance or less, there is no refund given.

If weather forces us to reschedule, you will be issued a full credit with the Outdoor Adventure Club that can be used for any trip, at any time.

Cancellation policies for custom multi-day trips (climbing, backpacking, other adventures) will vary based on length of trip, timing, destination, etc. A non-refundable deposit is required. Please inquire prior to booking a custom trip with us.

OAC Online Class Cancellation Policy:
OAC members: You can cancel or reschedule your class at any time. We would like 24 hour notice so we can fill your spot, though.
Non-members: There are no refunds. You can reschedule your class registration with 48 hour notice, without penalty. If you cancel your registration inside of 48 hours or are a “no-show” in the class, you will not get a credit or refund. If you do cancel your registration inside of 48 hours, we’ll try to fit you into another class with available space on the day of the class. If you are a no show in your class you will not get a credit or refund.
It is your responsibility to obtain and confirm access to the internet. If you can not access the internet at the time of the class, you will not get a refund, credit or reschedule.
If we are unable to deliver an online class for technical reasons, we will reschedule the class and you will be issued an OAC credit.
