OAC Trip Cancellation Policy
Our Trip Cancellation Policy
Group Trip Cancellation Policy (cancellation policies vary based on membership options):
For everyone: If for any reason you arrive late and miss the start of the trip, you will be considered a no-show and will not receive a refund or credit. Allow adequate travel time to get to the meeting point.
Non-Members: If you cancel for any reason (including being sick/injured, having to work, change of mind, transportation problems, family issues, etc.) within 14 days (336 hours) of the start of the trip, or are a no-show, no refund is given. Outside of 14 days you will receive a refund, less a $30 per person cancellation fee. Trip fees for missed trips are not transferrable to other OAC outings.
Standard Members, Monthly and Annual: If you cancel for any reason (including being sick/injured, having to work, change of mind, transportation problems, family issues, etc.) more than 3 days (72 hours) before the trip, you will be refunded, less a $30 per person cancellation fee. If you cancel for any reason within 72 hours of the trip, or are a no-show, there is no refund. Trip fees for missed trips are not transferable to other OAC outings.
Ultimate Members: As an Ultimate Member you’ve effectively prepaid for a year’s worth of adventures. You still need to be respectful of other people’s desire to join our trips, so we ask you to only register for trips you’re committed to attending, and give us at least 5 days notice if you must cancel.
As an Ultimate Member, if you cancel more than 5 days (120 hours) before the start of a trip, there is no cancellation fee. If you cancel inside of 120 hours before the start of the trip, or if you are a no-show for a trip you’ve registered for, there is a cancellation fee equal to 50% of the trip fee, at the standard member price. You will be invoiced for the cancellation fee. You must pay the cancellation fee to be able to register for, or to participate on future trips. Failure to pay the cancellation fee within 5 days of the cancelled trip will result in all future reservations being frozen. Frozen reservations are still held for you, but you will not be able to attend. Failure to pay the cancellation fee within 14 days will result in all future reservations being cancelled.
Transferring Registrations: Non-members and Standard Members: You are welcome to give your spot on an OAC trip to another person if you can not make the trip. Please let us know ASAP so we can update our rosters. Please note that if you cancel your reservation, you are no longer able to give your spot to someone else.
If you cancel your reservation and there is a waitlist for the event when you cancel, we will attempt to replace your spot with a participant from the waitlist. If we replace your spot from the waitlist at the time you cancel, you will receive a refund less a $30 per person cancellation fee.
When does the cancellation policy become effective? Or, “I just signed up yesterday and found out now I have to work, can I cancel without penalty?” Once you register for your trip, you are confirmed and the cancellation policy is in effect. When you sign up for an event, think of your registration as buying a ticket – you’re welcome to give the ticket to someone else, you can opt to not use the ticket, but you can’t use yesterday’s ticket for tomorrow’s game.
What if a trip is cancelled? If the Outdoor Adventure Club cancels a trip for any reason, then your payment can be applied to another trip or a full refund is issued.
Note that special cancellation policies may apply to special trips, such as Half Dome. Do note the cancellation policy during your trip registration process.
.Private/Custom Trip Cancellation Policy: Private climbing, hiking or backcountry ski day trips: If you must cancel a private guiding day, we will refund 50% of the trip fee if your cancellation is more than 10 days in advance of the trip. If you cancel 10 days in advance or less, there is no refund given. We will confirm a guide for the trip once the invoice is paid.
If weather forces us to reschedule, you will be issued a full credit with the Outdoor Adventure Club that can be used for any trip, at any time.
Private avalanche classes: If you must cancel a private avalanche class we will refund 50% of the trip fee if your cancellation is more than 21 days in advance of the trip. If you cancel 21 days in advance or less, there is no refund given. If the OAC determines there is insufficient snow to deliver an avalanche class, we will reschedule your class to another date, issue a refund, or issue you a full credit that can be used for any trip at any time.
Cancellation policies for custom multi-day trips (climbing, backpacking, other adventures) will vary based on length of trip, timing, destination, etc. A non-refundable deposit is required. Please inquire prior to booking a custom trip with us.
OAC Online Class Cancellation Policy: OAC members: You can cancel or reschedule your class at any time. We would like 24 hour notice so we can fill your spot, though. Non-members: There are no refunds. You can reschedule your class registration with 48 hour notice, without penalty. If you cancel your registration inside of 48 hours or are a “no-show” in the class, you will not get a credit or refund. We’ll try to fit you into another class with available space on the day of the class.
If you are a no show in your class you will not get a credit or refund. It is your responsibility to obtain and confirm access to the internet. If you can not access the internet at the time of the class, you will not get a refund, credit or reschedule. If we are unable to deliver an online class for technical reasons, we will reschedule the class and you will be issued an OAC credit.
